Find out what the different positions entail:
Elise – Chair
What do you do?
As a chair, you will be the face of Etcetera. This means you will be the speaker for the association at many events and will strive to maintain the good image of Etcetera. You will know everything there is to know about a study association and Etcetera itself. Within the board, you will lead the meetings and make the agenda. You will also be staying up to date with everything your board members are doing, to make sure everything runs as smoothly as possible. You will join in on all the fun activities that Etcetera has to offer, but also attend meetings with other associations regarding the study association. You are motivated to work together as a team and take care of Etcetera
What kind of person would like to do it?
It is important as chair to be able to take on a leadership role, so a person who naturally falls into such is ideal. What the leadership position means within Etcetera is remaining calm and rational during stressful or confronting situations, being able to confront others, being able to give and receive constructive criticism, being able to lead a meeting, and motivating and supporting your team.
How many hours do you spend on it in a week?
As with all of the other positions, it really depends on what kind of week it is. There are some weeks that are much busier than others with lots of events or miscellaneous meetings, but on average I spend a total of an afternoon working on Etcetera every week. What I do within those hours is make the meeting agenda, lead the meeting, keep updated with what the other members are doing, and miscellaneous tasks that come up, such as writing the newsletter.
Tim – Treasurer
What do you do?
As treasurer you will be in charge of Etcetera’s money throughout the year. This means that you will have to create a budget plan at the start of the year and keep an eye on it as the year progresses. You also make budget plans for the individual activities. Sometimes you’ll need to be strict with your fellow board members to prevent them from overspending. You take care of all of Etcetera’s income and spending and make sure all of it is kept nice and tidy within your bookkeeping. Do keep in mind that you also need to take care of the legal side of Etcetera. This means that you need to take care of the registration with the Chamber of Commerce, as well as the transfer of the bank account.
What kind of person would like to do it?
An ideal treasurer needs to be precise and be relatively good with numbers. If you’ve never kept a bookkeeping before, that’s no problem. It’s really doable if you are shown the ropes. Of course the old treasurer will guide you through your first steps as Etcetera’s new treasurer.
How many hours do you spend on it in a week?
The time spent on Etcetera as a treasurer is really dependent on the situation. When big events are coming up you will of course spend more time on those than when there are no upcoming events. On average the treasurer position is one of the more manageable positions in terms of time spent.
Sophie- secretary
What do you do?
As Etcetera’s secretary, you have to be the organized base of the board. You have to keep up with the planning, organize the mail and make sure that all the tasks are completed every week. This also means that you have to make sure that all of the emails are answered on time. You have to be able to send polite emails to companies/teachers/fellow students in both Dutch and English. Being able to work with Word and Excel is also important.
What kind of person would like to do it?
A person that is well organized and tidy. You like having all of your things in order and are able to communicate correctly and nicely with people. You are also a person that is able to confront people when necessary.
How many hours do you spend on it in a week?
Because you are the keeper of the email, you check it daily. During the meetings, you have to write down the notulen that show everything that has been said during this meeting. As the secretary, you also organize two of the book sales with the bookstore Athenaeum. The book sales take some time at the beginning of both semesters. Thus, the hours in a week depends on the semester, but you would have daily tasks to complete.
Hymke – Commissary of Internal Affairs
What do you do?
As Commissary of Internal Affairs, you will be in charge of all the committees. This means, recruiting people for all the different positions within the committees and sitting in on every meeting. As of now Etcetera has three committees: ACE, LLACE, and ProCo. The ACE and the LLACE have weekly meetings of an hour and the ProCo has meetings once every other week. The Commissary of Internal Affairs is the bridge between the committees and the board. So, it is important to communicate everything to the committees and to the board. The Commissary of Internal Affairs helps organizing events within the committees and also organizes the meetings between all the committees and the board.
What kind of person would like to do it?
As Commissary of Internal Affairs you need to be able to divide your time well. It is also important to not be prone to stress, since this position will take up more time than most of the other positions in the board. You work great in groups and communication is your strong suit, whether it is basic stuff or conflict resolution. Most importantly, you need to be able to bring a good vibe to almost every meeting, as it will make the meetings a lot more fun for everyone.
How many hours do you spend on it in a week?
All of the meetings combined will combine to at least 5 hours every week, this is without any event included. As Commissary of Internal Affairs you also need to be present at almost every event, this will also take up a lot of time. In the second semester there will also be a Yearbook committee which will add an extra hour to your weekly meetings schedule. This position does take up a lot of time, but I also think it is fun since you get to interact with a lot different people.
Simone – Commissary of External Affairs
What do you do?
As Commissary of External Affairs will be doing a lot of different things. You are the person in charge of the facebook, the website, the newsletters, the contact with companies, and contact with the other associations. You will also be the person who organises the collaborative events with the other associations, for example large parties! You will have to make sure that the members get all the information they need. So, you need to make sure that the Facebook and the website stay up to date! You also make sure that the members get the newsletter in time. Since you are in charge of promotion you will also have to invite all our members to the events.
What kind of person would like to do it?
As Commissary of External Affairs you are the social drive behind Etcetera. You are face of Etcetera to people outside of the association. This means that it is important that you are a social person who isn’t scared to talk to people. Since you will be organising parties, it is important that you don’t mind going out. Also, it would be really nice if you have some connections. But most importantly, you need to be a fun loving that isn’t scared to take charge.
How many hours do you spend on it in a week?
This really depends on the time of year. Apart from the weekly meeting you will have to keep the facebook and the website up to date. The facebook will take up about 20-40 minutes every day, or every other day depending on how much needs to be promoted. For the newsletter you will spend about an hour per newsletter, this goes out twice a month. If you are organising a party, you will be a lot busier since you need to lead all the meetings about that party, if you are co-hosting a party you will have to attend all meetings that are held.
